Can I meet with my client twice a week?
Yes! We have not experienced any disruptions in billing under Medicare when a client meets with their provider twice a week, as long as it is clinically justified.
What do I do if I want to go on vacation?
You should inform your clients that you will be absent, and which dates you will be unavailable. Please add blocks to your calendar so the care team will not book during this time. Please also let Provider Success know through the contact page.
What happens if a client is not the right fit?
You can request a clinical consultation to discuss the situation, or inform the client that you are choosing to reassign them, complete an internal transfer note & request a reassignment through the contact page.
How do I handle clients who are transferred to me?
Sometimes, clients are not a good fit so just as you may transfer a client to another clinician, your fellow clinicians may transfer a case to you. Upon getting a transfer client, ensure you do the following:
- Review the previous clinician's notes
- Prepare relevant items and questions for the client
- Upon the initial session, you must do an initial assessment. However, use the previous clinician's notes to guide your interviewing so that the client does not feel as though they are repeating themselves. A progress note should not be done because it can cause billing issues.
What do I do if my client wants to bring someone with them to a session?
If you are comfortable with a client bringing someone to the session, you would bill it using the CPT code 90847. This can apply if it is the client’s partner, parent, friend, sibling, etc.
What happens if my client is not in one of my licensed states?
This means there was a little miscommunication! Sometimes we have clients who’s home address is in one of your licensed states but if the client goes out of state, they should NOT be meeting with you. Sometimes, you may not realize their location until you are meeting with each other. This situation is due to the client’s negligence in informing you of their location so, you may mark these meetings as a “no-show”. Once you are informed that a client is not currently located in your licensed state, please tell them why you cannot meet with them and end the meeting.
Can we see court-ordered clients?
Given that there are additional and complex items that come along with court-ordered cases, we do not accept court-ordered clients.
What do I do if I am concerned about meeting clients via phone call for teletherapy?
Some of our clients feel more comfortable meeting via phone call for their sessions for various reasons. A lot of times, clients will want to have an initial session via phone call so that they can feel comfortable with their therapist and then they may be open to trying a video session. In the end, we do need to accommodate for the client’s needs as long as phone sessions are being accepted by Medicare. Please do your best to complete these sessions and see these resource links for information on phone therapy. If you ever have liability concerns, remember that all clients sign a consent form which holds the client responsible for their role in teletherapy (ex. confirming location, not driving, etc.)
